How to Create an Estimate, Quote, or Invoice

Learn how to create estimates, quotes & invoices and convert estimates or quotes into invoices via the web portal and app.

On the web portal

  1. Click the "Create New" button in the top right corner of the screen, and select "Certificate, Quote, or Invoice" from the pop-up menu:

  2. Next, you will be asked to select a form. Choose one of Estimate, Quote, or Invoice:

  3. Next, you need to add the record to a job. If you have an existing job, you can search for it here.


    Afterwards, click "Next".


    Tip: You can search using a job number, job address, or customer name.



    Haven't yet created a job?

    You can simply click "New Job" to create a new one. You'll then be asked to provide a customer's name and a job address. You can search for both, or create new ones by clicking on the create new buttons at the bottom:


    If creating a new customer or job address, you'll be prompted to fill out some details. Once finished, please click "Save".


    After selecting or creating a customer and job address, your screen will look like the image below. Please click "Create" to be taken to the invoice, quote, or estimate editor.



  4. Quotes, estimates, and invoices are all created in the same manner. You'll see all your company information, the customer's details, and the job address already filled by the software.

    From here, you can start adding line items straight away with the "+ Add Item" button:

  5. This opens a pop-up where you can add a description, unit quantity, price, and VAT %, which is set to 20% by default if enabled.

    You will need to do this for each separate line item you add.

  6. Line item templates are a great way to quickly build quotes, estimates, or invoices. Click on the blue "Use Template" button to select one you've previously created.


    If you want to create a new one, simply select "Create new template" from the drop-down list. Give it a template name, description, quantity, price, and VAT % before clicking "Save" and then "Use Template".

  7. When you've finished creating the record, you have a few options

    1. "Approve & Email" will issue the record and send it directly to the customer.

    2. "Approve & Preview" will issue the record, but open up a preview window without sending anything to the customer.

    3. "Save" allows you to retain your progress and return later to finish the record.

On the mobile apps

  1. Tap "New Estimate, Quote or Invoice".

  2. Tap on whichever you would like to create

  3. Select the job you are creating the record for, or tap "+ Add New Job" to create a new one.

    You will then be taken to the editor:


    Gas Engineer Software automatically adds your company details, customer info, job address, and some other smaller details to records.

  4. To add a new line item, click anywhere in the large box or the "+" icon in the top right corner.

  5. You can also use any pre-saved line item templates by tapping on "Use Template":


    New templates can be added by tapping on "+ Add New Template", giving it a name, quantity, description, unit price, and VAT %.

  6. When you've finished building your record, there are three options: "Save", "Home", and "Approve".


    Tapping "Approve" will bring up this pop-up:

    You can either email the record directly to your customer or preview it before doing so. Tap "Email" and you'll be redirected to this screen:


    Your customer's email will be automatically inputted, and the subject and content of the email are based on your email templates, which you can edit in your settings.

    When you're ready, tap "Send".

Note: If you press the home button at this point, after syncing your device, the record will show as "Issued" rather than as a draft.

Converting an estimate or quote into an invoice

Converting an Estimate or a Quote into an Invoice is easy, but cannot be reversed.

On the web portal:

  1. Find the Estimate/Quote you would like to convert and open it.

  2. Click the "Convert Quote to Invoice" button, which can be found on the right-side panel:

  3. Confirm that you are happy to convert the record.

    From here, you can edit, save, or issue the record in the normal way.


On the mobile app:

  1. Tap on "Existing Records & Drafts", and then "Quotes".

  2. Find the quote you want to convert, and tap on it.

  3. Click "Convert to Invoice" from the pop-up menu:

  4. Confirm that you are happy to convert the record.

    From here, you can edit, save, or issue the record in the normal way.

Crediting a customer or debtor

If you need to credit a customer or debtor, you will need to create a new invoice with a negative value or adjust an existing invoice by adding a line item with a negative value.
