An appointment confirmation is a message you send to a customer to confirm the date and time.
This is useful when a job has just been booked and you want to confirm details after speaking to a customer, or the customer has asked for written confirmation.
Appointment confirmations can be send from both the web portal and mobile apps.
How to Send an Appointment Confirmation on the Web Portal
To send an appointment confirmation from the web portal:
Log in to the web portal and open your calendar.
Click on the event that you would like to send an appointment confirmation for:
Confirm that you would like to email the confirmation
Double-check the email contents and recipients
Click send
How to Send an Appointment Confirmation on the Mobile Apps
To send an appointment confirmation on the mobile apps:
Open the app and tap on your calendar
Tap on the event that you would like to send an appointment confirmation for
Tap on the burger menu ☰ icon in the top right corner
Tap "Send Confirmation"
Double-check the email contents and recipients
Tap send
Changing the default appointment confirmation template
By default, your Gas Engineer Software account includes an appointment confirmation template written by us. This template will auto-populate your customer's name and address, but it can be fully customised by you. Here's how:
Log in to the web portal and open your settings.
Click on "Service Reminder and Email Templates"
Click edit under "Appointment Confirmation Email", or click here.
Customise the subject, email contents, and add any attachments here.
Use the drag-and-drop tags to add personalised information, such as the customer's name, address, and the appointment date/time.
