On the web portal
Click the "Create New" button in the top right corner of the screen, and select "Certificate, Quote, or Invoice" from the pop-up menu.
You will see a window showing all the records you can create in Gas Engineer Software. Scroll down to find "Job Sheet".
Tip: If you use job sheets frequently, you can star it to add it to your favourites so it appears at the top for quicker access.
Search for and select the job the job sheet relates to.
Details the software already knows — such as your name and company information — will already be filled in.
Simply click into the other fields to add or edit the required information, such as arrival time, job reference number, notes about the work, spares required, departure time, and hours worked.
When you've finished, you have a few options:
"Save" allows you to retain your progress and return later to finish the record.
"Approve" will issue the record and generate the PDF, allowing you to review it before sending.
"Approve & Email" will issue the record and send it directly to your customer or team.
That's it — your job sheet is complete and saved to the job in your system.
On the mobile app
Open the app and tap "New Record" from the home screen.
You will see a list of all the records available in Gas Engineer Software. Scroll down to find "Job Sheet".
Tip: Tap the star icon next to Job Sheet to add it to your favourites so it appears at the top for quicker access.
Tap "Job Sheet" to begin.
Select the job the job sheet relates to. You can scroll through the list or use the search bar to find it.
Haven't yet created a job? → Simply tap "+ Add New Job" at the bottom to create a new one.
You'll now be on the first section of the job sheet. Enter the arrival time, add a job reference number if needed, and use the notes field to record any details about the work. Tap "Next" to continue.
On the second section, you can record spares required, departure time, hours worked, and whether parts are required or the job has been completed. Tap "Next" again.
Finally, add your name and signature.
You can then choose to:
"Save" to retain your progress and return later.
"Approve & Email" to issue the record and send it to your customer or team.
That's it — your job sheet is complete and saved to the job in your system.
Sending job sheets with invoices
By default, approved job sheets can be sent along with your invoices. If you'd like to change whether or not approved job sheets are included when sending invoices, you can adjust this in your settings:
Go to Settings > Service Reminders and Email Templates > Invoice Email.
From here, you can enable or disable the option to attach approved job sheets to your invoice emails.
