As well as automated quote and invoice reminders, you can send a one-off reminder manually, whenever you like.
It's handy when you want to give a customer a nudge straight away — for example, chasing an overdue invoice or following up on a quote you're keen to win.
When you might use it
An invoice is overdue and you want to chase it right now
You want to follow up on a quote before it goes cold
You want to send a one-off nudge to a single customer
Unpaid invoices past their due date are tagged in GES. In the web portal, you'll need an "Overdue" tag in your full invoices list, while there is a full "Overdue" list to see them all in one place (available on the apps too).
Manually sending an invoice reminder
Manual reminders work on issued invoices. If your invoice is still a draft, open it and issue it first — the follow-up option appears once it's been issued.
On the web portal
Go to the Invoices tab and open an issued invoice.
Click the "Follow Up" button on the right-hand panel.
On the mobile apps
Tap the issued invoice to bring up its quick-action pop-up.
Choose "Follow Up".
What happens next
The email editor opens pre-filled with your Invoice Reminder 1 template, with the invoice PDF attached automatically.
Edit the email if you'd like, then Send — it goes just like any other email from the software.
Manually sending a quote follow-up
Currently available on the Android app only. iOS and the web portal are coming soon.
On Android there are two ways to send a follow-up — both open the same email editor.
Option 1: From the records or job list
Tap the quote in the list to bring up the quick-action dialog.
Tap "Follow Up".
(On a quote that's already been accepted, you'll see the normal "Email" option instead — there's no follow-up needed.)
Option 2: From the quote itself
Open the quote (the quote view / PDF preview screen).
Tap the menu (⋮) in the top-right corner.
Tap "Follow Up".
What happens next
The email editor opens pre-filled with your "Quote Reminder 1" template — subject and body, with the quote's details merged in.
The quote PDF is attached automatically.
You can edit the email before sending, or back out without sending.
Tap Send and it goes just like any other email from the app.
