Adding & Using Line Item Templates in Quotes & Invoices

Line item templates make creating quotes and invoices quicker and easier for standard jobs or tasks.

Rather than manually typing out the same line item contents for common jobs, Gas Engineer Software allows you to create templates for future use.

Each template includes a description, unit amount, price, and VAT rate, but can also be modified for that specific quote/invoice.

To create and use a line item template, you'll need to be on the quote/invoice creation window. Click for a full guide on creating a quote/invoice.

On the web portal

  1. Click "Add Item" to add a new line item

  2. Click "Use Template" in the top left corner.

  3. The "Line Item Template" pop-up shown below will appear.

  4. Select "Create new template":

  5. Give your template a name. This will not be shown on the final quote/invoice, and is purely for your reference.

  6. Enter text into "Template Description". This will be shown on your quote/invoice and be seen by customers.

  7. Set the Template Quantity.

  8. Set a Unit Price.

  9. Set the VAT %.

  10. Click "Save".

To use this template in the future, all you'll need to do is select it from the drop-down menu and click "Use Template".


Construction Industry Scheme (CIS) & Domestic Reverse Charge (DRC)

On the mobile apps

After you have created your invoice:

  1. Tap the "+" symbol in the top right corner of the screen

  2. Tap "Use Template"

  3. This is where you will select and use an already saved template in future. Tap the "+" icon in the top right corner to create a new one:

  4. Give your template a name. This will not be shown on the final quote/invoice, and is purely for your reference.

  5. Enter text into "Template Description". This will be shown on your quote/invoice and be seen by customers.

  6. Set the Template Quantity.

  7. Set a Unit Price.

  8. Set the VAT %.

  9. Click "Save".

To use this template in the future, all you'll need to do is select it from the Use Template menu and tap "Use Template".
