How to Get the Most out of Your Calendar

In this article, we'll explore how you can use the calendar to create events, better connect your admin & engineers, and keep track of jobs.

The calendar inside Gas Engineer Software is deeply integrated with the rest of the software. Any event is linked with a job, which is linked to a customer and, of course, job address.

The Web Portal Calendar

The web portal is especially handy for office-based staff. You can access the calendar via the top navigation menu.

Events can be viewed by day/week/month, or by person using the buttons just above the calendar:

You can also filter by specific engineers or customise the colour of their events on the right-hand side:

Clicking on available space on the calendar will open a "New event" window:

Here you can:

  1. Set an Activity Type - This is selected from a pre-defined list that describes the type of job the event is for.

  2. Add it to a customer and job address - If you already have a customer and job address, you can search and add both. If you need a new one of either, just click on the + on the right.

  3. Add it to a job - Likewise, you can search for an existing job or create a new one. If you create a new one, it will be attached to the job address listed above.

  4. Add Activity Notes - Any extra information engineers need can be added here. i.e. 'Boiler in the cellar'.

  5. Select an engineer - You can assign an engineer to this event, or mark it as unassigned for later scheduling.

  6. Set an Activity Outcome - you can select an activity outcome from a pre-defined list. This is normally updated by the engineer assigned to the event.

  7. Set the date and time of the event - By default, this will be where you clicked to create an event. All-day events will show across the top of the calendar.

  8. Finally, saving the event will add this to your calendar.

Notifying engineers of a new event / updated event

Any time you create and assign a new event or update an existing one, the engineer assigned will receive a notification on their phone (as long as notifications are turned on):

Creating multiple events for a single job

In Gas Engineer Software, a job can have multiple events. This is useful for keeping jobs that need multiple visits or even multiple engineers organised.

You can either simply create a new event under the same job, or use the handy "Save and Duplicate Event" feature - either when you edit an event or create a new one:

Changing the colours assigned to your engineers

Changing the colours assigned to your engineers on the calendar can help you colour-code your workflow to your liking. Here's how to do it:

  1. Tap on an engineer to open the colour picker.

  2. Choose your preferred colour.

  3. Click outside of the colour picker to close it.

iOS and Android apps

The app's calendar is designed to give your engineers a clear view of when and where their next job is.

The schedule view is most useful for engineers, as they can see their upcoming jobs in a list-like format.

Opening up the burger menu (the ☰ icon) in the top right corner opens up a menu with a few different options, including one to view only your events.

Clicking on any event will open it up in more detail, allowing you to see any information you might need to know.

Tip: By tapping on the job address, you can open up navigation in either Google Maps or Apple Maps:

To create a new event, simply tap on the orange + in the lower right corner. Select a date and time, assign it, add any notes, and attach it to a customer, job address, and job.
