How to Get the Most out of Your Calendar

Book, track and manage events via the built-in calendar.

The Web Portal Calendar

The web portal gives your office-based staff a digital calendar to organise your work. Events can be viewed by the day/week/month.

Clicking on available space on the calendar will open a "New event" window.

Here you can:

  1. Set an Activity Type - the Activity Type can be selected from a pre-defined list that describes the type of job the event is for.

  2. Search for an existing customer - if the customer is already in the system you can find them here and select them for the event.

  3. Add a new customer - if the customer is new in the system, you can click here to add that customer.

  4. Search for an existing job address - if the job address is already in the system you can find them here and select them for the event.

  5. Add a new job address - if the job address is new in the system, you can click here to add that job address and it will be associated with the customer you have selected.

  6. Search for an existing job - if the job is already in the system you can find it here and select it for the event.

  7. Add a new job - if you need to create a new job, you can click here to add that job and it will be associated with the job address you have selected.

  8. Add Activity Notes - you can provide more information to your engineers i.e. 'Boiler in the cellar'.

  9. Select an engineer - you can assign an engineer to this event, or mark it as unassigned for later scheduling.

  10. Set an Activity Outcome - you can select an activity outcome from a pre-defined list. This is normally updated by your engineer who is assigned to the event.

  11. Set the date and time of the event - by default, this will be where you clicked to create an event. All-day events will show across the top of the calendar.

  12. Finally, saving the event will add this to your calendar

Changing the colours assigned to your engineers

Changing the colours assigned to your engineers on the calendar can help you colour code your workflow to your liking - here's how to do it.

  1. Tap on an engineer to open the colour picker.

  2. Choose your preferred colour.

  3. Click outside of the colour picker to close it.

iOS and Android apps

The app's calendar is designed to give your engineers a clear view of where their next job is, and when.

  1. Month drop down - This allows you to see a month view where dots indicate scheduled events.

  2. Add a new event - tapping here will allow you to create a new event, adding a customer, job address, job and notes.

  3. Return to today - tapping here will return you to 'today' after you have scrolled backwards or forwards through your calendar.

  4. Events bar - tapping this bar will load older events for you to see.

  5. The event itself - tapping on this will allow you to see more details as well as edit the event, for example, adding an activity outcome.
