Gas Engineer Software features an integrated schedule, allowing calendar events to be connected to jobs, customers, and site addresses. Not only does this help prevent scheduling conflicts, but it also enables engineers and admin staff to keep a complete history of all records, communications & activity.
In this article, we'll walk through an easy way to use Gas Engineer Software to schedule your jobs, either as a team or as a sole trader.
Scheduling as a sole trader
As a sole trader taking calls, scheduling jobs, and carrying out the work, you need an effective way of staying organised while constantly on the move.
While the web portal is still useful for a broader overview of your work, the mobile app is designed to keep everything you need within a few taps.
For example, you can add/modify/view your jobs in your schedule, and create certificates directly from an event.
Clicking the orange "+" in the bottom right of your calendar allows you to create an event:
If you ever need to edit an event, simply click on it to open up the details.
Clicking the arrow in the top right of each field will enable you to edit those details. However, editing a Customer/Job Address/Job this way will change it throughout your entire system.
If you want to change the job address, tap on the "Edit" button at the bottom, remove the customer/job address/job, and add a new one.
Clicking on the address will allow you to navigate to the address using Google or Apple Maps:
And lastly, you can create a record directly from the event in your schedule by clicking on the "New Record" button. Learn more about creating a record here.
Scheduling as a team
If you have a staff member dedicated to admin tasks such as scheduling, the web portal is ideal.
The main reason for this is that a bigger screen can provide a broader and clearer overview of work for several engineers at once.
Any event added to or updated on the calendar will quickly sync with the mobile apps, together with a notification like this:
This means that admin staff can keep engineers in the know without the need for constant messaging or printed schedules that provide limited information and can't be modified.
Any time an engineer completes a job and sends a certificate to the customer, the web portal is updated to reflect these actions. The admin staff can then open the job in the calendar and click "Save & Go to Job":
Updates will be shown in the history section:
An invoice can easily be created by clicking on the "Create" button in the top right.
Once a job has been invoiced, it will be closed and moved to the invoices section of the software.
